What is the registration process? When do I have to pay

What Happens After you Register: 

  1. After you fill out the Registration form we will confirm that your room type is available and email you an invoice. Your deposit of $400 per room ($600 for a triple room) or payment in full is required to book your room (see below).  Because the resort rooms tend to sell out this time of year, we suggest that you pay quickly.
  2. If you are making payments, you will receive payment reminders via email and/or text message. 
  3. If your first choice of room types are not available, we will offer your second or third choice room type if available. If not, you will be given other options such as a different room type or a waitlist. 

  4. Please ensure the booking information on your invoice is accurate and your name(s) match your passport(s). Please submit a ticket if anything is not correct or contact us at support@concations.com
  5. You can change your room type or travel dates (subject to availability) and add a roommate prior to the event by using the registration changes form. You can generally change dates or add a roommate prior to 30 or 60 days before the event, but subject to the resort policy, which is not within the control of Concations. You can add dates at any time. 

Payment plans: You will have the option to pay in full or pay in  payments.

Deposits:     $400 per room ($600 Triple room)            

                

Before 7/20:    Deposits must be paid with registration to book room            

    65% due w/in 14 days            

    Payment in full by August 5            

                

After 7/20:    Deposits must be paid with registration to book room            

    Payment in full by August 5            

                

Payment deadline: 8/1:  Deposits must be paid with registration; but room is not booked until invoice is paid in full. Payment in full must be received within 48 hours (reservation will be cancelled if payment not received).   Room availability may change if invoice is not immediately paid in full .         


After August 1, payment in full is required to book a room.  If you need a different payment schedule, please let us know and we will do our best to accommodate you.

  • If we do not receive your deposit or payment by the payment deadlines, we will cancel your registration. You can still pay later if the room is still available to reinstate your booking. 
  • If you are not able to pay your deposit or you payment, please message support@concations.com.
  • While we can't book or hold your room without a deposit, we have some limited flexibility as to your payment plan options. We have to pay the resort for your room months in advance of the event or we lose your room. Therefore, we do need to receive payment in full to continue to hold it after August 1. After that, we may have some very limited options for flexibility. In any case, please let us know your specific needs and we will do our best to work with you.
  • If you need a different schedule, please submit a ticket  or contact us at support@concations.com. 
  • Payment in full must be timely your room and registration may be forfeited. 


FLIGHTS: 

  • After your deposit is paid, book your flight to Montego Bay, Jamaica and please fill out the flight Info formWe need your flight information to confirm your bus transfer, to be there for you when you check in, and to plan event programming.
  • NOTE: PLEASE BE SURE TO BOOK YOUR FLIGHT TO MONTEGO BAY (airport code MBJ) (not Kingston).


PASSPORTS ARE REQUIRED - Check your expiration date now!

  • Make sure your passport is not going to expire during your travel dates.
  • Please do not wait to get or renew a passport as it can sometimes take months.


TRAVEL INSURANCE

We recommend that you purchase all of the following: 

  • The resort's change for any reason waiver. This was automatically added to your invoice unless you opted out. if you opted out, message us immediately to see if we can still add it to your invoice. 
  • Travel insurance that covers cancellation, lost items, and health coverage with medical evacuation. For more info, see this article


EXTRAS!  Excursions, Bus Transfers, and T-Shirts!

  • If you opted out of the excursions, bus transfers, and/or T-shirts, you can add them any time, subject to availability, here.
  • Waivers must be purchased at least 30 days prior to your arrival. T-shirt deadline will be posted, likely 90 days prior. Bus Transfer price may increase within 45 days of the event per the bus transfer company policy.

  •  Please use the Change/update form if you need to change your reservation dates, add change a roommate, change your room type, add a bus transfer, add the resort waiver, cancel, or make other changes.
  • Submit a support ticket or contact us support@concations.com any time if you need any other help or with any other questions! We usually respond within an hour or two! If you need to get a hold of us quickly, you can call or text 571-969-BIND (2463).


PAYMENT OPTIONS:


Concations accepts the following payment types:

  • Credit/debit card
  • CashApp
  • Zelle
  • ACH bank transfer
  • Check
  • Paypal

    

A service fee of 3.75% will be added to your invoice total; however the service will we waived for payments by Zelle or Paper Check.


Please use the Change/update form at www.swinkation.com/changes if you need to:

  • Change arrival and/or departure dates
  • Change room category type
  • Change payment method
  • Add one or two people to your room
  • Replace one or two of your roommates
  • Add Bus transfers for one or more people in your room (including new people)
  • Buy the resort's change at any time waiver
  • If you need to cancel your reservation, please contact support@concations.com
